When you’re managing a virtual assistant, you need to be able to communicate effectively with them. You’ll need to be clear about expectations, provide feedback and direction, and, most importantly, give them space to do their job.

Here are some tips for effectively communicating with your VA:

Be clear about expectations. You want your VA to be able to work independently, so make sure that they know exactly what you expect from them. Be as specific as possible when describing projects or tasks and the deadlines for completion.

Provide feedback and direction. As your VA works on various tasks, they must have someone they can return to if they need help or guidance. If certain things need to be done in a particular order or format, let them know in advance, so they save time redoing something that doesn’t meet your standards.

Give them space to do their job. You hired this person because they have expertise in something specific — web design, accounting, or marketing — and giving them space allows them to use those skills effectively without getting distracted by other tasks that aren’t related to their core competencies.

Make sure you’re clear about what you want to be done. Don’t assume your VA knows what you’re thinking. When I started using a VA, I felt that if I gave her a task and told her to do it ASAP, she would get right on it — but she didn’t know what “ASAP” meant to me. She knew when she could start the task and when she needed to be done with it, but not when I wanted it done. If you want something done sooner than later, let your VA know so they can prioritize accordingly.
Don’t just rely on email or text messages for communication. Some VAs prefer written communication, while others prefer phone calls or video chats. Find out what works best for them and stick with that method of contact as often as possible (although if they’re doing work that doesn’t require much input from you, then email is acceptable).

The best way to ensure a smooth experience is to be upfront and clear about your needs. After all, if the VA understands exactly what you expect of them and when they will be able to complete projects perfectly. So make sure you’re communicative and considerate.
