Nine steps to onboarding your Virtual assistants

Is onboarding your virtual assistant good?

Onboarding is the process of integrating a new employee into the organization. It includes training, orientation, and acclimatization to the new workplace environment.

Is onboarding your virtual assistant good? Yes, it certainly is!

Hiring a VA is not just about hiring someone who can perform the tasks you need; it’s about hiring someone who shares your values and culture.

Onboarding VAs is integral to ensuring that they are comfortable with the work they are doing for you and will bring value to your business.

Your onboarding process plays a vital role in the success of the virtual assistant and in ensuring that things go as smoothly as possible - The Virtual Hub (This is a quote)

Here are nine steps to onboarding your virtual assistant
**

Set up IT permissions
**
This is where you give your Virtual assistant access to tech tools used by your company. This is where you give your Virtual assistant access to tech tools used by your company.

The first step is to find out what IT software your company uses and enter the names of those programs into this section. If you don’t know them all offhand, there’s no need to worry — search for them on your computer or ask the people in IT.

If something isn’t listed here yet, but you think it should be (like Dropbox or Trello), add it yourself and then assign permissions for it later. Tools like SLACK for communication, Trello for project management, and a new company email for easy messaging.

**
Team introduction
**
Your virtual assistant should be introduced to your other teammates to enhance the workflow. The first step in establishing a good working relationship between you and your virtual assistant is teaching them to your team.

If you have a small team, this might not be necessary. But if you work with others, they must know who your VA is and how they can help them.

This will also give the whole team an idea of what the VA can do and what types of tasks they will be working on.

**
Acquaint them with your company
**
You need to help your virtual assistant understand the culture of your business. Acquaint them with your company

You need to help your virtual assistant understand the culture of your business. Explain what matters and what doesn’t. If you have a unique way of doing things, share it with them. This will make their work more accessible, and they’ll be able to understand what you expect from them.

**
Let them know the goals for the job role**.

Let your virtual assistant know what is expected of them from the job they are to do for you. For example, if you want a sales letter written, let them know what exactly kind of information you want in it and what format it should be in.

**
Explain the steps for their tasks
**
Thoroughly explain to your virtual assistant how you’d want them to carry out the tasks given. Thoroughly explain to your virtual assistant how you’d like them to carry out the tasks. This will help them understand what you need and prevent any confusion or misunderstanding that might arise later on.

**
Communicate!
**
You’re working remotely with your VA, so the need for communication is paramount. Your virtual assistant cannot read your mind. Set standards for how and when you communicate through various channels, such as; how and when to set reminders for meetings, scheduled check-ins…

**
Start with one task first, then build
**
Your virtual assistant will want to resume work as quickly as possible, and it’s okay. But, it would be best to start by delegating one task before adding more.

**
Build relationship
**
People work better and are happier when they have a work buddy. Build a relationship with your virtual assistant. You could go on coffee or tea breaks, share vacation photos or ask about their family and pets.

**
Bonuses!
**
Do not forget to give positive feedback and encouragement. It’s one of the most potent forms of motivation and productivity at work.
