MeetYourVA

In 45 minutes, we will show you where 10 hours of your week is going.

Then we will tell you which part a machine should be doing, which part a trained person should be doing, and what it costs to fix. You keep the plan whether you work with us or not.

This is for you if you are running a service business somewhere between $500k and $5m a year, with a handful of staff, and you are still the person everything routes through.

You are not struggling. That is the frustrating part. The business works. Revenue is fine. You have people.

And yet you are still writing the same quote you wrote last week, still answering the question you have answered eleven times, still the only one who knows how the thing actually gets done.

Here is what it usually looks like when we map a week.

And you are copied on all of it, because you are the backstop.

None of it is dramatic. That is exactly why it never gets fixed. No single item is worth a project, and together they are eating ten to fifteen hours a week across your team.

Why the usual fixes did not work

You bought AI tools. The team has ChatGPT. Maybe a few people use it to write emails faster. Nothing about how the business actually runs changed, because a chat window sits outside your process looking in. It does not know your intake rules or who drops the ball on Thursdays.

You hired more people. And the work went up, not down. Every hire needs training on the same manual steps, and now there are more handoffs for something to fall through.

You talked to an automation agency. They showed you a flowchart, quoted you for a build, and wanted to run everything through software. It worked on the tidy 80% and broke on the messy 20%, which is the part that actually needed judgment.

You hired a VA. And put a person on top of a broken process, which is better than nothing and still costs you the same hours in supervision.

Each of those is the right answer to part of the problem and the wrong answer to the rest of it. The reason none of them landed is that nobody looked at the work first and decided which was which.

What we actually do

We are not an AI company. We have spent five years placing trained people into businesses like yours and building the systems they work inside. Over 200 clients.

That means when we look at a repeated task, we can pick either tool honestly.

Some work should be automated.

It repeats, it follows rules, the inputs are predictable. First response to a lead. Appointment reminders. Pulling a report together. Moving a deal through stages. Drafting the first version of a quote from notes that already exist. A person doing this work is expensive and slower and gets bored, which is when mistakes start.

Some work should go to a trained person.

It needs judgment, or a relationship, or the ability to notice that something is off. Difficult client conversations. Anything where the answer depends. Anything where getting it wrong is expensive. Automation applied here is how businesses end up with a system that confidently does the wrong thing at scale.

Some work should stop.

Every business we map has a report nobody reads and a process that exists because somebody set it up in 2021.

Most vendors can only sell you one of those three, so that is the one they recommend. We do not have that problem, which is the only reason this session is worth 45 minutes of your time.

What the session actually is

Forty-five minutes, on a call, with Nayan, our founder. Not a discovery call with a rep who then books you a second call.

  1. We walk through your week. Where the hours go, what repeats, what routes through you, where things stall.

  2. We put numbers on it. Hours per week per task, and roughly what those hours cost you at what your people are paid.

  3. We sort it. Automate, staff, or stop. Item by item, with reasons.

  4. You get it in writing. A short document naming the three most expensive repeated tasks in your business, the hours attached to each, what we would do about each one, and what it would cost to fix.

That document is yours. If you want to take it to your own developer, or hand it to someone in-house, or sit on it for six months, that is a completely fine outcome and it happens.

If you want us to build it, we will quote you at the end of the call.

Proof
Placeholder, remove before launch PROOF NEEDED: two or three real builds already delivered, with before and after hours. GHL work counts, the AI label does not have to be on it. Format each one as: what the business was, what was eating the hours, what we did, hours back. Three sentences each, no adjectives.
Placeholder, remove before launch PROOF NEEDED: one named client quote. First name, business type, one or two sentences in their own words. A real quote about a real result beats five polished testimonials.

What we can say today, because it is verified:

Five years in business. Over 200 clients served. We place and manage trained people, and we build the systems around them, which is an unusual combination in this category.

Who this is not for

We turn down more of these than we take, and it is better for everyone if you self-select out here.

This is not for you if you are under about $500k a year. The work we would recommend will not pay for itself yet. Come back when it will.

It is not for you if you want someone to run your marketing. We are not an ads agency and we are not going to pretend to be one.

It is not for you if you are looking for the cheapest possible build. There are people on Upwork who will wire something together for a few hundred dollars. Some of them are good. That is a different purchase to this one.

It is not for you if nothing is actually broken. If your week is clean and your team is not doing repeated manual work, we will tell you that on the call and give you the 45 minutes back.

The guarantee

If we build it, you get 10 hours a week back across your team within 60 days, or we keep working at no additional cost until you do.

Not a refund. We would rather finish the job than hand your money back and leave you with the same problem.

And we measure it, so it is not an argument. The plan from your free session names each task and the hours it currently takes. That is the baseline, agreed by both of us before any money changes hands. At 60 days we measure against that same document.

What it costs

Placeholder, remove before launch DECISION NEEDED FROM NAYAN, see README. Recommended shape below, numbers to be confirmed before this page goes live. Highlighted figures are unconfirmed.

The session is free.

Builds run $6,000 to $12,000 depending on how much we are changing, paid up front.

Most clients then keep us on at $500 to $1,500 a month to run and maintain it, because a system nobody owns degrades in about four months. That part is optional and you can decide after the build.

We will give you the number on the call, not three days later in a proposal.

FAQ
Is this a sales call with another name on it?

Partly, and we are not going to pretend otherwise. We do this because roughly a third of the people we map want us to build it. The other two thirds keep the plan and we never speak again. Both of those are fine outcomes, which is why we can afford to make the call genuinely useful rather than a 45-minute pitch.

Do I need someone technical on the call?

No. It helps if whoever knows the day to day is there, which is often an ops manager or an EA rather than you.

We already have a CRM. Does that matter?

It helps. Most of what we build sits on top of what you already pay for. If you are on GoHighLevel, HubSpot or similar, that is usually where this starts.

What if the answer is not AI?

Then we will say so. Plenty of what we find is better solved by a trained person or by deleting the step. If we sold only automation we would have to recommend automation. We do not, so we do not.

How long does a build take?

Most are live in two to four weeks. We do the highest-value piece first so you see something working in week one rather than at the end.

We already work with a VA company.

Fine. Half the value of the session is working out what your existing people should stop doing by hand.

What happens to my staff?

In five years of doing this, almost nobody has used it to cut headcount. They use it to stop paying skilled people to do data entry. That is the honest answer and you should discount it accordingly, but it is what we see.

You already know which parts of your week should not be yours.

Forty-five minutes to find out what they cost, what to do about each one, and what it would take to fix.

You keep the plan either way.
